Is running a hotel’s OTA accounts just changing prices?

Lately, I have heard this viewpoint quite often, from hotel owners, and even some hotel supervisors and managers.

They all share the same opinion: OTA management for hotels is straightforward — it’s just about tweaking room rates day-to-day. Anyone can handle it.

This view, however, is rather naive and reveals a limited understanding of the work.

Why do I say so?

Rate adjustment is only the visible surface and an end result of OTA operations.

It is similar to seeing a top-ranked student at school scrolling on their phone instead of studying. You then jump to the conclusion that the student achieves top grades simply because they spend time on their phone and skip reading.

Here is another example: you meet someone with a long lifespan who eats congee and smokes every day. You may wrongly conclude that eating congee and smoking daily leads to longevity.

In fact, what you observe is only what appears on the surface. You only catch a fleeting moment, and this does not represent the full picture when you are not watching.

The same logic applies to hotel OTA management.

You only see the simple action of changing rates. What you miss is all the groundwork and strategic thinking behind every rate update.

Rate adjustment is an action, a tactic.

Many hotel owners hold a similar opinion about housekeeping: cleaning guest rooms looks easy.

Some owners even try it themselves — clearing trash, making beds and mopping floors. They then decide that room cleaning is simple work.

What they fail to recognise is that they only did it once, while housekeeping staff repeat this work day in and day out.

Doing it once is easy. Sustaining this work every single day is not.

The same goes for OTA management. Even the task of rate setting becomes far more complex when performed consistently over time.

Before every rate change, operators need to assess multiple factors:

  • What is the hotel’s current occupancy rate?
  • What are the occupancy rates of competing properties?
  • What is our current room rate?
  • What rates are competitors offering?
  • What are our hotel’s current impressions, views and click volumes?
  • What rate level could help drive more bookings?
  • What tactics can we deploy to boost our property exposure?

These considerations are reviewed and repeated daily as part of routine operations.

Deciding on the optimal rate to maximise bookings and revenue is a thought process, not a one-off action.

To get it right, operators must continuously test, compile data, analyse performance and refine their approach.

Put simply, rate setting and revenue management are an ongoing series of experiments.

There is no permanent rule that works forever. You cannot lock in a formula once discovered and rely on it indefinitely.

The number of competing hotels in the local area is beyond our control. Market traffic fluctuates independently of our wishes. Guests’ booking choices cannot be dictated by us.

These are the reasons why OTA management requires a dedicated full-time specialist, rather than being treated as an extra side task.

Delivering refined, high-quality results requires consistent long-term effort, which builds true expertise.

If you only work on it sporadically — a little today, nothing tomorrow, a quick check the day after — you will never build professional capability or achieve good outcomes.

Clear role division and consistent commitment are the foundation of genuine operations.

If everything were as simple as it sounds, professional specialists would not be needed at all.
